General Description of Duties:

Under the direction of the department Director. You will be responsible for the following:

  • Writing memoranda and reports.
  • Tracking budget and expenditure data.
  • Collecting and analyzing standardized data and information.
  • Researching operational and administrative problems and issues.
  • Preparing recommendations for management review and disposition.
  • Maintaining confidentiality with matters of privacy.
  • Performs a broad range of fairly complex duties involving confidential or technical information.
  • Uses independent judgment in completing activities in a timely manner.
  • Works under general supervision.

Specific Responsibilities:

  • Tracks Family Living Provider requirements throughout the year.
  • Sends reminders of any needed information.
  • Updates Family Living Provider and Independent Living Referral sheets as needed.
  • Collects all client required paperwork needed for referrals to Family Living and Independent Living and files appropriately.
  • Assists with tracking and requesting DVR authorizations.
  • Ensures that authorizations have been entered correctly.
  • Edits DVR narratives as needed.
  • Handles special projects as assigned.
  • Monitors and analyzes data, prepares corresponding spreadsheets/reports/documents.
  • Submits reports in a timely manner to supervisor and/or governmental agencies as appropriate.
  • Performs audit(s) as assigned relative to the QMB Audit Information.
  • Ensures assigned activities are accomplished in a timely manner.
  • Reviewing and calculating mileage for Agency vans.
  • Reconciling receipts for Independent Living Petty Cash.
  • Collects, processes, and ensures proper coding of invoices/receipts.
  • Represents Adelante and maintains a positive relationship with the business community, general public, customers, and public officials.
  • Exercises considerable judgment in working with highly confidential information, correspondence, reports, and records.

  • Performs other duties as assigned.

Education and Training:

  • Requirements:
    • High school diploma or GED required.
    • Four (4) years clerical experience required.
    • Two (2) years of administrative experience required, including organization, coordination, and performing duties at a responsible and confidential level.
    • Mid-level experience with necessary word processing and spreadsheet software (Microsoft Office, Word, Excel, etc.).
    • Knowledge of DVR requirements.
    • Strong communication and customer service skills.
    • High degree of integrity and ethics.
    • Organizational capabilities to handle multiple tasks effectively in a fast-paced environment.
    • Knowledge and/or experience working with or around the disabled population preferred.
  • Communication Skills:
    • Ability to effectively communicate in English with internal and external customers of Adelante.
    • Ability to read and write English to understand and interpret written procedures.
    • Ability to give and receive instructions in written and verbal forms.
    • Ability to effectively present information and respond to questions from clients, supervisors, and co-workers.
  • Collaboration:
    • Ability to work collaboratively with others in the organization.
    • Ability to work well with diverse groups of people both inside and outside the Agency.

Other Requirements: Must have valid NM Drivers License with a clean Agency insurable driving record, reliable transportation, and be able to pass a background check, and drug screen. Must be able to sit, perform keyboarding functions, and utilize a calculator. Must be able to stand, walk, bend, stoop, and reach above shoulders frequently. Must be able to carry, lift 10 lbs. occasionally. May be required to visit various locations, with little notice, in order to carry out essential job duties. Adelante is a drug free workplace. Pay: From $17.50 per hour (DOE)
